Terms of Service

Agreement and acceptance

These Terms of Service ("Terms") form a binding agreement between you and CodingRoof Software Solutions Private Limited ("CodingRoof", "we", "us", "our") for use of the SalonPro platform ("Service").

If you register on behalf of a salon, chain, or other organisation, you represent that you have authority to bind that entity. References to "you" or "Customer" include that organisation and its authorised users.

If you do not agree to these Terms, do not use the Service. Continued use after we post updated Terms constitutes acceptance of the changes to the extent permitted by applicable law.

Definitions

In these Terms:

• Customer — the organisation that registers for and subscribes to the Service.
• User — any person authorised by the Customer to access the workspace (owner, manager, reception, stylist, etc.).
• Workspace — the Customer's isolated tenant environment, including branches configured under one account.
• Guest Data — personal and transactional data about salon clients that the Customer stores in the workspace (profiles, appointments, invoices, loyalty, etc.).
• Subscription — a paid or trial plan for access to the Service as described on our website or order form.

Service description

SalonPro is a cloud-based salon management workspace. Depending on your plan, features may include appointment scheduling, billing and point-of-sale with GST invoicing, client CRM, services and staff management, inventory, loyalty, membership plans for your guests, analytics, and multi-branch operations.

We may improve, modify, or discontinue features with reasonable notice where practicable. We do not guarantee that every marketing description on our website is available on your specific plan or region.

Eligibility and account registration

You must be at least 18 years old and legally able to enter contracts to register. You must provide accurate registration information and keep account credentials secure.

You are responsible for all activity under your workspace, including actions taken by Users you invite. Notify us promptly at hello@codingroof.com if you suspect unauthorised access.

Customer responsibilities

You agree to:

• Use the Service only for lawful salon and spa business purposes.
• Ensure Users comply with these Terms and our Acceptable Use Policy.
• Obtain any consents required from guests whose data you store (marketing, reminders, loyalty, etc.).
• Issue GST and other tax invoices accurately and in compliance with applicable law—you control the tax treatment on bills you generate.
• Maintain backups or exports of Guest Data where your business requires them; we provide operational redundancy but are not your sole archive.

Subscription, trials, and billing

Pricing, trial periods, and plan limits are described on our website or in an order form. Fees are quoted in Indian Rupees unless otherwise stated.

Subscriptions renew according to the billing cycle you select unless cancelled before the renewal date. We may change prices for future periods with advance notice.

Taxes on Subscription fees (including GST, if applicable) are your responsibility unless stated otherwise on the invoice we issue to you.

Refunds and cancellations are governed by our Refund and Cancellation Policy at /legal/refunds.

Acceptable use

Your use must comply with our Acceptable Use Policy at /legal/acceptable-use. Prohibited conduct includes accessing another tenant's data, distributing malware, scraping the Service without permission, or using the platform to facilitate fraud or unlawful activity.

We may investigate violations and suspend or terminate access to protect the Service and other customers.

Intellectual property

CodingRoof owns the Service, software, branding, documentation, and all related intellectual property. We grant you a limited, non-exclusive, non-transferable licence to use the Service during an active Subscription for your internal business operations.

You retain ownership of Guest Data and content you upload. You grant us a licence to host, process, and display that content solely to provide and improve the Service.

Confidentiality

Each party may receive confidential information from the other. You will protect our non-public product, pricing, and security information. We will treat your non-public business data as confidential and use it only as permitted by these Terms and our Privacy Policy.

Data processing

For account and platform data, CodingRoof acts as a data controller or processor as described in our Privacy Policy at /legal/privacy.

For Guest Data, you are typically the data controller and determine the lawful basis for processing. We process Guest Data on your instructions to operate the workspace. You are responsible for guest-facing notices and rights requests relating to Guest Data.

Service availability and support

We aim for high availability but do not guarantee uninterrupted access. Maintenance, upgrades, and events outside our control may cause downtime.

Support channels and response targets are described on our website and help resources. Critical billing issues are prioritised where possible.

Third-party services

The Service may integrate with or link to third-party services (payment gateways, messaging providers, hosting). Those services are governed by their own terms. We are not responsible for third-party acts or omissions.

Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" TO THE MAXIMUM EXTENT PERMITTED BY LAW. WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

SalonPro is business software, not legal, tax, or medical advice. You remain responsible for compliance with salon regulations, GST rules, and professional standards in your jurisdiction.

Limitation of liability

To the maximum extent permitted by law, CodingRoof will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenue, data, or goodwill.

Our aggregate liability arising from or relating to the Service will not exceed the fees you paid to us in the twelve (12) months before the event giving rise to the claim, or INR 50,000, whichever is greater, unless a higher limit is required by applicable law.

Indemnification

You will defend and indemnify CodingRoof against claims arising from your use of the Service, Guest Data, tax invoices you issue, violation of these Terms, or infringement of third-party rights, except to the extent caused by our gross negligence or wilful misconduct.

Termination and suspension

You may stop using the Service and request account closure by contacting us. We may suspend or terminate access for material breach, non-payment, legal requirement, or risk to the platform.

Upon termination, your right to access the workspace ends. We may delete or anonymise data after a reasonable retention period, subject to our Privacy Policy and legal obligations.

Governing law and disputes

These Terms are governed by the laws of India, without regard to conflict-of-law principles.

Courts at Bengaluru, Karnataka, India shall have exclusive jurisdiction, subject to mandatory consumer protections or other non-waivable rights under applicable law.

Before formal proceedings, the parties will attempt in good faith to resolve disputes through negotiation for at least thirty (30) days after written notice.

Changes to these Terms

We may update these Terms to reflect product, legal, or operational changes. We will post the revised version with an updated date and, where changes are material, provide notice through the Service or email.

Your continued use after the effective date of revised Terms constitutes acceptance unless applicable law requires explicit consent.
